Most small businesses only think about their email host when mail stops arriving. It’s better to check a few things before you sign up than after a client tells you your quote never came through.
Does it work on every device?
Your mail should arrive on your phone, in Outlook or Apple Mail, and in a browser when you’re on someone else’s computer. Look for IMAP, POP3 and SMTP support plus webmail. Use IMAP if you read mail on more than one device, because it keeps them all in sync. Autodiscover saves typing in server settings: the mail app finds them from your address.
Our email hosting supports all three, with Roundcube webmail in any browser. Turn on Autodiscover in Plesk, and Outlook and most phone mail apps set up the account from your address and password.
How many mailboxes, and how much storage?
Some providers charge per mailbox. We charge per plan: Email Basic allows up to 10 mailboxes, Email Plus up to 50 and Email Pro up to 100, for one monthly price.
The limit to watch is storage, which all mailboxes on a plan share. Basic has 1GB, Plus 5GB and Pro 10GB. A small team that mostly sends everyday email fits well in Basic. If people keep years of mail or large attachments, choose Plus or Pro.
How big can an email be?
Check the size limit before you sign up, especially if you send drawings, plans or design files. An email over the limit bounces back, and the client never sees it.
We allow emails up to 50MB, sent and received. We set that limit years ago for engineering and design firms that email large files, and it applies to every mailbox on every plan.
What happens to spam and viruses?
Filtering should happen on the server, before mail reaches your inbox. Our plans include spam and virus filtering, with ClamAV virus scanning, and support DKIM and SPF records. Those records help other mail servers trust the mail you send, so it’s less likely to land in someone’s junk folder.
No filter catches everything. Our guide to spotting phishing emails covers what to check yourself.
Can you manage it yourself?
Small changes shouldn’t need a support ticket. In our control panel you can add mailboxes, reset passwords, and set up aliases, forwards and auto-replies. An alias such as sales@ delivers to an existing inbox, which is handy for roles and departments.
Is it secure?
Look for SSL on mail and webmail, so passwords and messages are encrypted between your device and the server. We use free Let’s Encrypt certificates for both. Our mail servers also run KernelCare, which applies Linux security patches without a reboot, and an adaptive firewall.
Is there a guarantee?
Ask for one in writing. We give a 99.9% uptime guarantee, and email hosting is covered by our 60-day money back guarantee, so you can try it with your real mail before you commit. There are no term contracts.
